Project Details

  • Client: Loyal & Sons
  • Original: Outdated MS Excel spreadsheet
  • Solution: Hybrid Software
  • Project Duration: 2 months
  • Client Website: www.loyalandsons.com

The Challenge

Loyal relied on multiple Excel spreadsheets across different operational processes, with no clear connection between them. This led to duplicated data, inconsistencies, and delays when managing orders from initial request through to delivery.

While a fully web-based system would have streamlined operations, the team was heavily reliant on Excel and resistant to changing their existing workflows. Replacing spreadsheets entirely risked slowing the business down rather than improving it.

The Desired Outcome

The goal was to improve data accuracy and reduce manual processes without forcing a complete shift away from Excel.

The solution needed to connect existing spreadsheets into a central system, while allowing employees to continue working in a familiar way.

The Solution

We developed a hybrid solution combining Excel with a web-based database. An add-in was introduced to connect the client’s existing spreadsheets to an API, allowing data to be automatically transferred to a central system.

This approach enabled the business to retain its current workflows while introducing a single source of truth in the background. The central database could then be managed and maintained without disrupting day-to-day operations.

Rather than forcing a full system replacement, this project focused on a gradual transition. By working with existing processes instead of against them, the business was able to improve efficiency without disrupting its team.

This highlights the importance of balancing technical improvements with how people actually work day to day.

The Impact

The hybrid approach improved efficiency while minimising disruption to the team:

  • Reduced errors – eliminates inconsistencies caused by disconnected spreadsheets.
  • Centralised data – creates a single source of truth without requiring users to change tools.
  • Smoother adoption – allows teams to continue working in Excel while benefiting from improved systems.
  • Scalable foundation – introduces a system that can evolve into a fully web-based platform over time.
